1. Criteria for funding of travel and accommodation costs

1.1 Who is entitled to have the costs of the travel and accommodation covered?

  • Only officially nominated INCO NCPs/NIPs and only one NCP/NIP per country.
  • Costs of experts replacing an official INCO NCP/NIPs will not be covered.

1.2 Rights and conditions for travel and daily allowance

  • Subject to the criteria outlined in 1.1 above, all officially nominated INCO NCPs/NIPs shall be entitled to have the cost of the air ticket from their country of origin to Johannesburg, South Africa covered by INCONTACT. This travel must be organised through the official INCO conference travel partner.
  • Duly appointed INCO NCPs are also entitled to a daily allowance for incidental and personal expenses. The daily allowance will be 30€ (maximum of 90€). These payments will be made in South Africa.
  • In case of prolongment of the trip for personal or recreational reasons, daily allowance will not be granted for the extra days.
  • INCONTACT project partners must utilise the resources available under their project budget.

5. Visa and vaccination requirements

5.1 Visa requirements

  • A letter of invitation will be forwarded to all delegates on receipt of the registration form for VISA requirements purposes.
  • Delegates are responsible for their own VISA arrangements.
  • The Travel Organiser will assist in advising of VISA requirements as part of the travel booking process.

5.2 Vaccinations requirements

  • Delegates are responsible for their own vaccination / other health arrangements.
  • The Travel Organiser will assist in advising of vaccination or other health requirements as part of the travel booking process.
 

 

6. Pre / post-conference tourist package (optional – for own cost)

• The Travel Organiser will assist delegates to create an itinerary specific to their interests and needs.

Places of interest include: In and around Johannesburg and Pretoria: The Apartheid Museum, Constitutional Hill, The Origins Centre, The Lion Park, Johannesburg Zoo, Goldreef City, Newtown Cultural Precinct, Museum Africa, Nelson Mandela House, Hector Pietersen Museum, Walter Sisulu Square, Pilanesburg Nature Park, Sun City Complex, Cradle of Humankind, Lesedi Cultural Village. A little further out: Kruger National Park, Durban beaches, uShaka Marine World, Table Mountain, the Waterfront, Cape Point, Robben Island, Cape Town beaches, the Winelands, the fynbos of the Cape Floral Region, Kirstenbosch Gardens, The Garden Route, Addo National Park.

7. Travel insurance

  • All travellers will be required to make their own travel insurance arrangements (medical, luggage etc.).
  • Travel arrangements will not be confirmed until travel insurance details are lodged with the travel coordinator.

In the case of the INCO NCPs being funded by the INCONTACT project, all arrangements should be made through this registration process since there will be no reimbursements made for travel and accommodation.

Kindly note that room reservations will be processed on a first-come-first served basis and according to the hotel availability.
The Organisers reserve the right to make alternative hotel and room arrangements for INCO NCPs where INCONTACT is responsible for payment.

11. Changes and cancellation policy

All changes and / or cancellations must be sent in writing to incontact@dst.gov.za

Please note that charges will be incurred for changes and/or cancellations after the deadline date for registrations.

Your fully completed registration form should be returned to us by no later than 12 August 2011.
